A comprehensive guide to setting up and using the Arbiter integration to sync athletic events to the FMX scheduling calendar.

How the Integration Works

The FMX-Arbiter integration connects your organization's Arbiter-scheduled athletic events directly to FMX. This ensures all users are notified of new sporting events, changes to athletic events, and cancellations. This can sync home games, away games, practice games, or a combination of the three.

Once configured, the integration works automatically in the background.

To get started, reach out to your account manager or customer success manager. FMX will request API access from Arbiter on your school's behalf.

Schedule Requests Sync

The Arbiter Scheduling sync allows you and your teams to have an integrated calendar between Arbiter and FMX that stays up-to-date as changes are made in Arbiter. This is a one-way sync that automatically imports home, away, and practice events directly into FMX to prevent double-bookings. Once configured, the integration performs hourly updates to capture new events, modifications, and cancellations, ensuring your facility schedule remains accurate. The integration syncs data from two days ago and any event within the next year.

Setup Guide for Administrators

This section provides step-by-step instructions for configuring the integration for the first time.

Prerequisites

Before starting the configuration wizard, you must complete the following setup steps in FMX.

1. Contact FMX

  • Please contact your account manager or customer success manager so FMX can request the API access required from Arbiter. You can continue these steps in the meantime.

2. Configure FMX

  • Create a dedicated User Type: Configure a new user type with the required permissions. For more information, see How to Customize User Access. The required permissions are:
    • User Type
      • Can administer organization: Checked
    • Building & Resource Access:
      • Read: Any
    • Schedule Request Access:
      • Create: Any
      • Read (All read permissions): Any
      • Update: Any
      • Cancel: Any
      • Delete: Any
      • Override approval order: Checked
      • Can set multiple buildings: Checked
      • Can set other resource: Checked
      • Can schedule conflicting events: Checked
      • Allowed request types: All
    • Create a dedicated User: Create a new user and assign it to the user type you just configured. For more information, see Adding and Editing Users & Contacts.
      • Assign an identifiable name (e.g., "Arbiter Integration”).
      • Use an email address where you want to receive notifications (e.g., “email+arbiter@domain.com”).
      • Securely document this user’s password for use in the configuration steps.
      • If you have Permitted user types set on any resource this integration may sync, ensure this user is added as a permitted user. This applies even when their user type's Allowed request types is set to All.
    • Create needed Custom Fields:
      • Create a custom field called "Arbiter Id". This is used to map synced schedule requests from Arbiter to FMX. This is the only required custom field for this integration.
        • This field must be unique and not used by any other integrations or for any other purposes. Reusing a schedule request ID field across different integrations will cause schedule requests to be deleted.
      • If you plan to map other event details from Arbiter, create them as Custom Fields for Schedule Requests now.
      • All custom fields used by this integration must use the Text field type.
      • Custom fields must be assigned across all synced FMX Request Types to be mapped from Arbiter and be allowed to be modified by the dedicated sync user. Only custom fields that are common to all selected request types will be available for mapping during configuration.

Configuration Wizard

With the previous steps complete, you are now ready to begin configuring your integration. Please go to FMX, then navigate to Admin Settings > Integrations, click Arbiter, then Reconfigure. The first page is merely informational. Click Next, and follow the listed help text for more information on configuring the rest of the integration.
