Overview of features: 

  1. The Veracross Scheduling Integration allows you and your teams to have an integrated calendar between Veracross and FMX 
  2. This enables you to have an all-in-one calendar 
  3. You and your team would not have to double-enter events in Veracross and FMX; this would automatically sync for you as events are entered into Veracross
  4. This would prevent any double booking of spaces
  5. You can choose whether you want group events, athletics events, practice events, or any combination of the three options
  6. The integration will automatically create any events you wish to sync once set up 
  7. From there, it will update, cancel, and/or delete as information is updated in Veracross
  8. This sync will occur hourly.
  9. The integration will sync data up to two days before the current date.
  10. Information syncs from Veracross into FMX; this is a one-way integration

Setup:

1. Configure FMX

  • Create a dedicated User Type: Configure a new user type with the required permissions. For more information, see How to Customize User Access. The permissions needed are:
    • Building & Resource Access:
      • Read: Any
    • Schedule Request Access:
      • Create: Any
      • Read (All read permissions): Any
      • Update: Any
      • Cancel: Any
      • Delete: Any
      • Override approval order: Checked
      • Can set multiple buildings: Checked
      • Can set other resource: Checked
      • Can schedule conflicting events: Checked
      • Allowed request types: All
  • Create a dedicated User: Create a new user and assign it to the user type you just configured. For more information, see Adding and Editing Users & Contacts.
    • Assign an identifiable name (e.g., "Veracross Integration”).
    • Use an email address where you want to receive notifications (e.g., “email+veracross@domain.com”).
    • Securely document this user’s password for use in the configuration steps.
  • Create needed Custom Fields:
    • Create a custom field called "Veracross Id". This is used to map synced schedule requests from Veracross to FMX. This is the only required custom field for this integration.
    • If you plan to map other event details from Veracross, create them as Custom Fields for Schedule Requests now.
    • Custom fields must be assigned across all synced FMX Request Types to be mapped from Veracross and be allowed to be modified by the dedicated sync user.

2. Configure Veracross

While logged into your Veracross account, navigate to the Identity & Access Management homepage. Search for "FMX", then click the Start Integration button. Follow the on-screen prompts to add the integration, then add these scopes:

  • athletics.team.practice_schedules:list
  • athletics.teams:list
  • event_groups:read
  • events.athletics:list
  • events.athletics:read
  • events.athletics_opponents:read
  • events.group_events:list
  • events.group_events:read
  • resource_reservations.resources:list

3. Configure the Integration

With the previous steps complete, you are now ready to begin configuring your integration. Please go to FMX, then navigate to Admin Settings > Integrations, click Veracross, then Reconfigure. The first page is merely informational. Click Next, and follow the listed help text for more information on configuring the rest of the integration.
