Take a look at new features released between January - March 2022 including Recurring Task Workflows, improved work order association, added bulk actions, and more.

Recurring Task Workflows

The existing Planned Maintenance module can now be duplicated and renamed to support various workflows, departments, and organizational structures. Anything that occurs ongoing or benefits from a checklist of templated steps can be managed through a Recurring Task Workflow.

Some examples include:

  • Cleaning Schedules
  • IT Scheduled Tasks
  • Training & Onboarding
  • Landscaping Schedules
  • Pest Control

How to set it up:

Like any new module, Recurring Task Workflows require an Account Manager to set up. Reach out to your Account Manager if you would like to add a Recurring Task Workflow to FMX.

 

Work Order Associations

Requests and work orders across different modules can now be associated. So, if you have a custodial request and maintenance request related to the same issue, those can be linked together for quick reference. In addition, associated requests will display their status for an overview of their progress.

How to set it up:

  1. Go into "Admin Settings"
  2. Select "User Types"
  3. Choose a user type and click "Edit"
  4. Expand the section labeled "User Type"
  5. Open the dropdown labeled "View request associations"
  6. Select either "Own", "Accessible Buildings", or "Any" depending on your preference
  7. Repeat for the dropdown labeled "Associate requests"
  8. Click "Save"

NOTE: Each module must also have "Allow associating requests" enabled within Admin Settings > General > Module Name.

Text to Work Orders

Text to Work Orders received an update, now allowing you to capture the phone number of anyone that submits a work order via text message for easy follow-up.

How to set it up:

Text to Work Orders requires a specific configuration with the help of your Account Manager. Reach out to your Account Manager if you would like to add Text to Work Orders to FMX.

 

Bulk Equipment Updates

The next set of bulk actions has been released, and this time it's for equipment items. Change the location, assigned user, or any other associated fields of up to 100 equipment items at a time.

How to set it up:

  1. Go into "Admin Settings"
  2. Select "User Types"
  3. Choose a user type and click "Edit"
  4. Expand the section labeled "Equipment Access"
  5. Check the box labeled "Bulk update"
  6. Click "Save"

How to use it:

  1. Navigate to "Equipment"
  2. Filter to include the equipment you want to update
  3. Select equipment items with the checkboxes on the left-hand side
  4. Click the "Edit" icon in the top right corner
  5. Download the "Equipment Edit" template
  6. Make the necessary edits to the file
  7. Import the edited file in the "Template" field
  8. Click "Save"

TIP: You can use the "Show records" dropdown to update up to 100 records at a time.

Text Field Attachments

Now, in text fields throughout FMX, users can paste images along with the text. For example, if someone wants to paste an image of a particular brand of spark plugs, they can copy and paste it into a response.

NOTE: In order for this feature to work, there must be an attachment field enabled in that particular area of FMX.

How to enable an Attachment field:

  1. Go into "Admin Settings"
  2. Select "Custom Fields"
  3. Click the button "Add custom field"
  4. Open the "Type" dropdown
  5. Select "Attachment"
  6. Fill in the remaining details
  7. Click "Save"
