Manager: Common Scenarios & Suggested Prompts

Scenario 1: Tracking Down a Vague Request

The Situation: You are trying to track down a request, but you don’t remember the exact details, like the building name or the requester. Luckily, with Iris you can save time and your sanity by quickly locating even the vaguest requests without having to dig through multiple filters.

The Prompt: "Help me find a cabinet door request."

What Happens: Iris will search through the text of your requests and pull up relevant matches, such as a request titled "The cabinet door under my sink is wonky." You can then click view request details or take further actions on the request.

Scenario 2: Updating Stakeholders

The Situation: A principal or building manager reaches out to understand what maintenance work is currently happening in their school. With Iris, you can build trust and keep your stakeholders informed by always having the answers they need right at your fingertips.

The Prompt: "Show me all requests in Johnson Elementary School grouped by status."

What Happens: Iris will return a clean, organized list of all results for that specific building, complete with separate tables for each status (Pending, Finalized, etc.).

Scenario 3: Checking on Overdue Work

The Situation: You’ve noticed that there are some overdue requests piling up, and you want to check in with your team to understand what’s going on without micromanaging. Iris helps you proactively manage your team by monitoring delays, easily checking in on technicians, and encouraging communication.

The Prompt: "Find all overdue requests and add a private response 'Provide an update'."

What Happens: Iris will show you a list of the overdue requests and prepare a private response for each. You can review the list, ensure the response is marked private, and apply the bulk action.

Scenario 4: The Monday Morning Assignment Queue

The Situation: It’s Monday morning and a whole slew of requests have come through over the weekend. Quickly move this work into the queue and reduce overall response and resolution times by assigning these requests across your team.

The Prompt: "Find all unassigned requests and assign them across my team."

What Happens: Iris opens a view of your available technicians and the requests are evenly assigned based on the technicians’ current ticket counts. If you know someone is out sick or on vacation, you can quickly click "configure" to adjust who a specific ticket goes to before confirming.

Scenario 5: Bulk Resolving Routine Tasks

The Situation: Your team successfully set up the gym and cafeteria for two events the night before. Cut out tedious, manual data entry and drastically reduce administrative time by having Iris resolve these requests

The Prompts:

  1. "Find any requests that are the event set up type and are pending resolution."
  2. "Resolve these with the message 'Set up completed'."

What Happens: First, Iris pulls the specific requests. You can review these and ask Iris to adjust the list based on additional criteria (such as building or assigned user). After the second prompt, it opens a confirmation page, where you can see your resolution message applied to the form. You can choose to review and submit forms individually or click "Apply All.”

Scenario 6: Pausing Work for Testing or Events

The Situation: Standardized testing is happening in the Middle School this week. Easily align your maintenance schedules with building operations and protect student learning by putting non-emergency work on hold.

The Prompt: "Find all open requests for Dyson Middle School and put them on hold."

What Happens: Iris gathers all open requests for that specific location. You can review the list and click "Apply all" to instantly update their status to On Hold.

Technician: Common Scenarios & Suggested Prompts

Scenario 1: Logging your work

The Situation: You’ve finished up a request. Dictate directly to Iris to quickly log your time and used inventory with fewer clicks and less typing.

The Prompt: "Resolve 7166931. Add 10 minutes of labor for Justin and add one light bulb from inventory.

What Happens: Click the microphone to use voice-to-text. Once you’ve finished speaking, Iris will open the form and pre-populate the fields with your information. Hit “Submit” or simply tell Iris to do it.

Scenario 2:

The Situation: You are planning your work for the next day. Quickly see an organized list of your open work, so that you can decide the best way to tackle your day.

The Prompt: “show my open work grouped by building and priority”

What Happens: Iris will provide you a list of all your open work clearly organized by building and priority level.
