Understanding How Iris WorksIris is an AI assistant powered by a Large Language Model (LLM) integrated with specific FMX actions. Unlike standard software, Iris uses predictive technology to translate your natural language questions into software commands and then translates the software's data back into easy-to-understand responses.Because Iris relies on predictions rather than "thinking," you may notice the following:Variability: Iris might provide slightly different responses to the same question asked at different times.Contextual Knowledge: To improve accuracy, Iris is provided with FMX-specific context and information regarding your organization.Safety Blocks: Iris is designed to block requests unrelated to its purpose. If it is unsure how to answer a support-related question, it will direct you to the FMX support team.✅ Best Practice: Because Iris uses predictive technology to fulfill your requests, it is always a good idea to perform a quick review of the details—especially when performing bulk actions—to ensure the results match your expectations. Iris PermissionsAll organizations and user types have access to Iris by default; however, you have full control over these permissions. You can disable Iris for your organization by unchecking the "Enable Iris" option in your General Settings with Admin Settings. You can disable Iris for specific user types by visiting the Iris Access Settings within the User Type Settings and unchecking the "Can access Iris" option.Navigating IrisEasily engage Iris by typing directly into the text field or choose from our suggested prompts to start exploring.Voice-to-TextDictate directly to Iris by clicking the microphone button in the text field. You will be required to grant Iris permissions access your microphone the first time you use this. Iris will automatically process your message once it detects you have stopped speaking.Start a New ChatCreate a new chat by clicking the + sign in the upper left corner.Chat HistoryClick the toggle sidebar button to view your chat history. Select any previous chat to review conversation details. Reviewing Iris capabilitiesIris allows you to retrieve information and perform actions on your Work Requests without navigating through multiple menus.Product SupportYou can ask Iris questions about your FMX products, including:Product Functionality: Ask how you can use certain features and products.Trouble shooting: Ask why features or products are not working as expected.Information retrievalYou can ask Iris to find and display specific data points, including:Work Request Search: Search for requests based on keywords.Asset Tracking: Search for and display specific Buildings and Equipment items.Dynamic Visualization: Iris automatically adjusts column headers based on your input and can visually break down lists of requests into organized tables.Request actionsIris can perform actions on single requests or execute bulk actions across multiple requests. When performing bulk actions you will have the option to Apply All or Review individual requests. Using Iris effectivelyTo get the most accurate predictions from Iris, follow these best practices:Provide detail: Give as much information as possible in your initial question.Stay focused: Avoid "context-switching" or jumping between unrelated topics in a single conversation. When you have an unrelated question, open a new chat. Search by supported fields: For the best results, use the following fields when searching for Work Requests:Work Request ID or Name/TitleStatus, Due Date, or Creation/Resolution DateAssigned User(s) or RequesterBuilding Name, Location, or Equipment ItemRequest Type Identifying limitations and prerequisitesAs an early-access feature, there are specific scenarios where Iris may not function as expected:Supported Modules & User Types: Iris functionality is currently focused on the Work Request module. Full functionality is currently limited to FMX Admins; non-admin users may encounter errors during this early access phase.Formula Fields: If your Assign, Hold, Respond, or Resolution forms contain formula fields, Iris actions will not work for your organization.Bulk Assignment: When assigning multiple requests at once, Iris currently only supports even distribution across all eligible technicians. You cannot yet bulk-assign a specific set of requests (e.g., all requests for a specific building) to one specific individual.Unsupported Search Criteria: You cannot currently search by Building Group, Priority Level, "On behalf of" user, or specific completion/assignment dates.
