FMX makes it easy to log and track labor hours on work orders, planned maintenance tasks, technology requests, and any custom workflow requests. Labor hours can be tracked for both employees and work that is outsourced to third-party vendors.
There are two methods to record labor hours. The first method can be established through the standard worker time feature. This method involves a user manually logging hours on request responses and/or resolutions.
*Enabling and changing worker time and labor rate permissions require administrator access.
Enabling Worker Time
- To turn on worker time, navigate to the Admin Settings on the left-hand menu.
- On the General page, scroll down to the module you want to enable worker time for.
- Open the collapsible menu and check the desired option for the worker time field: hidden, optional, or required.
- Scroll down to the bottom of the page and hit Save.
Additional Worker Time Permissions
FMX also gives administrators the ability to enhance worker time permissions for managers and supervisors if desired. These permissions, known as view and set worker time, allow these user types to manage worker time for other users.
- Can view work - Allows users to view their own and other workers’ hours on requests they have permission to view
- Start and stop worker time - Allows users to record the hours they’ve worked and other workers’ hours on requests
Work reminders can also be set for any user through the show work reminder feature. - Show work reminder - Users will see a banner message if a request they are assigned to is due that day and they have not already recorded work on it
To enable any or all of these permissions for a user type, please follow the instructions below:
- Navigate to the Admin Settings on the left-hand menu.
- Select User Types from the tabs at the top of the page.
- Choose the Edit option on the user type you wish to update permissions for.
- Fill in and/or check mark the appropriate fields, scroll down the the bottom of the page, and hit Save.
Labor Rates
To set labor rates per user, please follow the instructions below.
- Navigate to the Admin Settings on the left-hand menu.
- Select User Types from the tabs at the top of the page.
- Choose the Edit option on the user type you wish to set a labor rate for.
- Collapse the User Type menu and check the Has labor rate box. Scroll down to the bottom of the page and hit Save.
- Navigate to the Users & Contacts module.
- Find the user you wish to set a labor rate for and click the Administer icon.
- Type in the Labor rate, scroll down to the bottom of the page, and hit Save.
- Newly added users of this user type will have the labor rate field available from the start.
- Newly added users of this user type will have the labor rate field available from the start.
Once a labor rate is set, labor costs will automatically be calculated in FMX based on the hours logged by the user.
Logging Worker Time on a Request
To track labor hours on a work order, planned maintenance task, technology request, or a custom workflow request, please follow the steps below.
Log Labor Hours on a Response
- Navigate to the work request or PM task
- Click the Respond icon.
- Select your name from the worker field and type in your worker time. Please note that worker time is formatted in hours and minutes.
Before - Click Respond to complete the response and log your time.
Log Labor Hours on a Resolution
- Navigate to the work request or PM task
- Click the Resolve icon (work requests) or Execute icon (PM tasks).
Work Request Resolution
Planned Maintenance Execution - Select your name from the worker field and type in your worker time. Please note that worker time is formatted in hours and minutes.
4. Click Resolve (work requests) or Execute (PM tasks) to complete the request/task and log your time.
Start/Stop Worker Time
FMX also offers a start/stop worker time feature that utilizes “clock in and clock out” capabilities to more accurately track work. Learn more about this labor tracking feature or contact your Account Manager for more information.
