In order to set up your DragonFly Athletics Scheduling Integration, the FMX team will need the following:

  • Share your DragonFly data with FMX (see below for a screenshot)
    • In DragonFly, navigate to the "Schools & People" section and then under the "Set Up School" tab
    • From there, there will be a checkbox to "Share Data with FMX" that you can check off
  • Share your Org Code from DragonFly with FMX via the secure messages feature.
    • This is located in the "Schools & People" section and then under the "Set Up School" tabDragonfly Screenshot (1).png
    • You will need to repeat steps one and two for each school stored in DragonFly
  • Default building in FMX
    • This default building will be used when a game's site name cannot be found in FMX
    • It is usually used with away games.
    • Must be an existing building in their FMX account
    • Needs to have a schedulable Resource in order to sync correctly
  • List of Resources to import in to FMX
    • Additionally, we may need you and your team to include information about the DragonFly Facility name in order to ensure that these spaces map correctly to one another. Here is a link to a document you can use for the site mappings: Site Mapping Document
  • Default Duration Time (example: 2 hours per event)
  • Do you want to pull data from more than 2 days ago to the current date?

Overview of Features:

  1. The DragonFly Athletics Scheduling Integration allows you and your teams to have an integrated calendar between DragonFly and FMX
  2. This allows you to have an all-in-one calendar
  3. You and your team would not have to double-enter events in DragonFly Athletics and FMX, this would automatically sync for you as events are entered into DragonFly
  4. This would prevent any double booking of spaces
  5. The integration will automatically create any athletic events you wish to sync once set up
  6. From there, it will update, cancel and/or delete requests as information is updated in DragonFly Athletics
  7. This sync will occur on an hourly basis. FMX can change this to daily if that is a better frequency for your district
  8. The integration can grab all historical information if desired. If not, it will pull data from two days from the set date to current
  9. Information syncs from DragonFly Athletics into FMX, this is a one-way integration

How it works in FMX:

  1. A "Syncer" or FMX Admin account will be used to create these requests in the Scheduling module in FMX:
  2. This "Syncer" user will also be updating and cancelling requests whenever information is changed in DragonFly. This will be reflected at the bottom of the timeline on a request:
    1. dragonfly
  3. Our team here at FMX will be setting up the sync for the integration, but we will need assistance from your internal success team to ensure we have the correct information regarding Buildings and Locations.
    1. These are called "Host School Name" and "Facility" in DragonFly Athletics. We need these to match exactly in FMX with what is in DragonFly or we need to have them listed under a Custom Field in FMX to make sure they map properly.
      1. Building Example: Match
      2. Resource Example:
  4. Once the sync is enabled, the FMX team will check with your team to make sure the sync is working as expected.

Please contact your Account Manager or Customer Success Manager with any questions or interest in this feature!
